Clinic and Social Media Coordinator

Reports To: Clinic Manager
Requirements:
Ideal candidates will be well presented and have previous front of house/marketing experience in an aesthetic clinic. You will receive extensive training in our services and products in addition to role related training.

This role will include:

  • Organisation of the clinic day, opening and closing the department and following clinical protocols
  • Meeting and greeting patients on a daily basis
  • Dealing with patient queries in a polite and professional manner, maintaining exceptional standards of customer service and upholding the company’s professional image at all times. 
  • Managing telephone and email enquiries, appointment bookings and maintaining accurate patient records against the computer database. 
  • Arriving and checking out patients according to the booking system and dealing with patients who are late and whom have not attended their appointments. 
  • Taking correct payments and accurately maintaining accounts and invoices
  • Maintaining filing systems for any documentation, ensuring iPads needed for treatments and patient consultations are always accessible. 
  • Ensuring the clinic looks immaculate, clean and tidy as you will be responsible for front of house. 
  • Preparing individual clinic lists for practitioners according to their diaries and treatments schedule. 
  • Managing the diary and booking out treatments in the correct rooms for all services.
  • Helping to promote the business through excellent customer service, initiative and assisting in marketing projects and open events as directed by management. 
  • Taking and passing on relevant messages to colleagues. 
  • Supporting management and team members with additional duties as and when required. 
  • Be able to acquire a good knowledge of all treatments performed at the clinic so as to offer brief descriptions of each. 
  • Supporting the development of marketing campaigns to attract, engage and retain patients, including supporting the production of all collateral
  • Assist with the writing and proofreading of creative copy for social platforms and the website
  • Support with creating digital marketing content, including videos and static images
  • Day to day management support of our social media channels to assist in growing new followers, gaining interaction and engagement, and promoting brand awareness.
  • Support with sending monthly newsletters to the patient database and monthly website management and updates
  • Offer creative input and ideas were necessary to help develop the brand
  • Assisting with events where necessary and liaising and supporting relationships with press/media
  • Support with monitoring and controlling adherence to all deadlines

  • Experience in a front of house/reception within aesthetics

  • Excellent computer literacy and experience with Microsoft Office and a clinical software (preferably Pabau)
  • Support employees and create an environment where expectations are exceeded
  • Ideally experienced in retail sales and familiar with cosmeceutical products
  • Experience with social media platforms including, Facebook, Instagram and TikTok.
  • Experience organizing and assisting with events

To be successful in this role, you should have hands-on approach to your role and be able to organise the daily clinical tasks around the front desk. Communicating with patients from every touch point, supporting their patient journey and exceeding expectations. Managing marketing tasks to a high standard and using your initiate add value and ideas to the business strategy.

Aesthetic Practitioner

Applicants MUST have at least 3 years experience in a Skin Clinic

Reports to: Aesthetic Manager

Position Summary: We’re looking for a highly experienced Aesthetic Practitioner who has worked closely with the requirements of aesthetic services and the Care Quality Commission.

Requirements: You will report to directly to the Aesthetic Manager with responsibility for driving your own column, service and retail sales, ensuring best practice, excellent customer service and that all treatments are carried out in line with company protocols.

Responsibilities: You will be responsible for managing your own diary, developing and focusing on increasing sales.

Part of this role will include administration and desk cover to ensure smooth operations within the department at all times.

Day to day duties will include administering the following services, Laser Hair Removal, Skin tightening, Advanced Electrolysis, Bioderomogenesi (Stretch Mark and Cellulite treatment), Laser tattoo removal, Aesthetic skin rejuvenation treatments, Laser skin rejuvenation treatments, iPixel resurfacing treatments, Skin Analysis assessments and more. You will be required to provide patients with recommendations of home-care products and treatment courses along with working towards targets to help develop business growth.

You must be a good team player, loyal, flexible, presentable, conscientious and reliable and able to lead by example.

You will be required to: Assess, plan, implement and evaluate patient care in accordance to specific aesthetic protocols
Ensure all customers receive a professional and courteous impression of the business.

Promote the companies range of products, courses and non-surgical treatments along with referring patients across to our Dermatologists for assessments if required.

Promote product sales at front of house, ensuring every client is given a recommendation of skin care prior to leaving the clinic.

Document all patient records and update the software with all relevant information.

Ensure patient confidentiality.

Comply with all CQC regulations and ensure you have read and understood all clinic policies and procedures.

Occasional reception cover, taking patient calls and enquiries.

We require the following:

  • Excellent customer service
  • Experience of high-end treatments
  • Excellent sales skills and conversion rate

Ideal candidates will have:

  • Industry knowledge and a solid understanding of clinical procedures and standards
  • Excellent knowledge of CQC standards
  • Obtaining client medical history and ensuring patient treatment record and consent forms are signed and completed correctly.
